we are currently looking for a highly organized, self-directed, and passionate administrative assistant to support our ceo. Responsibilities in this position will be wide-ranging and will primarily encompass, but will not be limited to, supporting the ceo in their day-to-day engagement with our prospects and clients, onboarding new clients via our client onboarding process, managing operational processes, capturing meeting notes, supporting marketing and sales efforts, and drafting internal memoranda. This role will also assist team members with different duties as assigned.

core responsibilities
* meeting coordination: schedule meetings, set agendas, take notes, and provide follow-up actions.
* document management: update standard operating procedures, templates, client-facing documents, and other "how-to" materials.
* marketing support: assist in the creation and management of marketing materials, oversee the marketing calendar, and support webinar and campaign execution.
* brand consistency: ensure appropriate branding of all templates and materials in word, powerpoint, google docs, and google slides.
* sales & business development: maintain sales marketing materials and draft proposals and sales enablement content.
* website & social media management: update website content (squarespace), manage social media channels (linkedin, twitter, facebook), and send newsletters (hubspot).
* training & events: coordinate logistics for training sessions, roundtable dinners, and internal company events.
* client relations: solicit feedback and testimonials from existing/past clients and referral partners.
* research & process improvement: research solutions to problems and provide recommendations for efficiency improvements.
* vendor management: coordinate and manage vendor relationships.
* hubspot crm management:
o maintain and update hubspot crm records for leads, contacts, and business development.
o monitor and manage website leads for timely follow-up.
o ensure crm is accurately populated with client and prospect interactions.
o utilize hubspot for automated marketing campaigns and email outreach.
o support lead tracking and sales pipeline management.
* founder support: manage email inbox, calendar, and task tracking; provide meeting prep and accountability.
* social media & linkedin support: manage linkedin inbox, outreach campaigns, and engagement strategies.
* podcast administration: support guest research, scheduling, and relationship-building activities.
* event planning: organize company gatherings, continuing education sessions, and client gifting.
* operations & recruiting: assist with process documentation, account closures, recruiting efforts, and internal workload reviews.
* generative ai collaboration: participate in ai and automation initiatives to improve efficiency and workflow.
requirements & qualifications
* 3+ years of experience in administrative support or a related field.
* outstanding time management, communication, and attention to detail.
* strong ability to research and influence decisions through data.
* experience in remote work environments.
* proficiency in microsoft office suite and google suite.
* hubspot experience: proven experience using hubspot for crm, marketing, automation, and lead tracking.
* familiarity with linkedin automation tools and social selling strategies.
* comfortable working in a remote environment with minimal supervision.
* experience in event coordination and marketing support is a plus.
* understanding of generative ai and automation tools (preferred but not required).
