overview: seeking a dynamic and detail-oriented event sales coordinator to join our team at musa. This role focuses on driving event sales, managing rate structures, and overseeing the negotiation and contracting process for all events. The event sales coordinator will work closely with the on-site events host, ensuring a seamless handoff from contract to event execution.
key responsibilities:
* proactively identify and cultivate relationships with potential clients, including wedding planners, corporate groups, and private event organizers.
* develop and implement seasonal rate structures, buyout site fees, and event packages, ensuring alignment with musa’s revenue goals and brand ethos.
* lead all event sales efforts, including initial inquiries, property tours in coordination with events host, and proposal presentations.
* negotiate contracts and pricing, securing profitable events while maintaining guest satisfaction.
contracts & documentation:
* draft, review, and finalize all event contracts, ensuring clear terms regarding deposits, cancellations, and payment schedules.
* manage client communications regarding event details, timelines, and financial commitments.
* ensure compliance with property policies, local regulations, and legal requirements.
* work hand-in-hand with the on-site event host to guarantee a smooth transition from sales to execution, providing clear event briefs and banquet event orders (beos).
* liaise with the f&b manager, operations team, and revenue manager to align event pricing, staffing, and logistics.
* partner with the marketing team to create event-specific promotional materials and digital content.
* track event sales performance, providing regular reports on revenue, booking trends, and conversion rates.
* analyze seasonal demand and adjust rate structures accordingly to maximize profitability.
* ensure accurate invoicing and timely collection of payments.
qualifications:
* proven experience in event sales, hospitality, or a related field, with a strong understanding of rate strategies and contract negotiations.
* excellent communication, negotiation, and organizational skills.
* familiarity with creating and managing beos, sales reports, and client databases.
* ability to work collaboratively across departments while maintaining a client-first approach.
* fluent in both english and spanish preferred.
