The event mkt sr proj coordinator is a developing professional role. Deals with most problems independently and has some latitude to solve complex problems. Integrates in-depth specialty area knowledge with a solid understanding of industry standards and practices. Good understanding of how the team and area integrate with others in accomplishing the objectives of the subfunction/ job family. Applies analytical thinking and knowledge of data analysis tools and methodologies. Requires attention to detail when making judgments and recommendations based on the analysis of factual information. Typically deals with variable issues with potentially broader business impact. responsibilities:
* provides event marketing coordinator services supporting senior event project managers and all business units across citi.
* contributes to providing specialized end to end event marketing strategy, planning and execution of client and employee events.
* develops event marketing strategies and lead initiatives to drive results for our clients and business partners
* participates in event logistics, planning and execution
* ensures all events comply with citi branding marketing and controls; marketing materials, signage and displays
* partners with global event management web services to create and execute event content, website design, registration services and attendee reporting
* manages event financial reporting and ensure all data meets all compliance criteria; reconcile invoices and final cost reporting and capture cost savings
* supports all citi expense management initiatives and facilitates event risk evaluations
* appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.
qualifications:
* 2-5 years relevant experience
* minimum 5+ years in event marketing or hospitality industry experience in financial services/fintech event marketing a plus
* ability to effectively manage multiple priorities simultaneously in a fast-paced environment
* excellent time management skills to handle projects that have long and short lead times
* excellent relationship management skills with proven success in being people-focused
* excellent negotiation and communication skills
* collaborative "team player" orientation with a strong regional cultural awareness
* advanced analytical, problem solving and reporting skills
* flexibility in work hours a must; work and travel is required while managing events including weekends and some holidays
education:
* bachelors/university degree or equivalent experience

pre-evento
- administrar las relaciones con proveedores e impulsar resultados superiores a través de la gestión adecuada del proceso de solicitudes de propuestas.
- diseñar el evento como la selección de la sede, cotización de los diferentes servicios, análisis de costos, negociación con proveedores
- proporcionar información al negocio para su registro en cvent, generar los anexos aplicables al evento en conjunto con el área de legal, comunicar a los negocios los procesos de control aplicables a cada evento.
- coordinar todos los detalles logísticos relativos al evento, tales como participación de speakers, necesidades de audiovisual y catering, viajes, alojamiento, materiales.
- desarrollar y/o revisar todos los materiales logísticos que se distribuirán a los participantes en el evento, incluyendo notas de bienvenida, comunicados, presencias de marca, etc.
- mantener bajo su control el presupuesto, detallado y comunicación constante con el negocio para evitar excesos en el monto aprobado.
durante el evento
- coordinar y supervisar que el evento se desarrolle de acuerdo a lo planeado, revisar salas de reuniones, elementos audiovisuales, acreditaciones, hospitalidad, alimentos y bebidas, control de habitaciones, coordinación de personal, coordinación y transporte de oradores, regalos, etc.
post-evento
- asegurarse de que el cierre del proveedor es correcto a través de la revisión de las facturas que amparan los servicios.
- administrar el proceso de cierre del evento, en línea con las políticas y los procedimientos de la institución, incluyendo pago de facturas y conciliación del presupuesto final.
- gestionar la solicitud de los pagos a proveedores y asegurarse que dichos pagos se realicen en tiempo y forma.
