As we establish and grow, our focus is on creating a streamlined, efficient, and scalable operational process to handle every aspect of loan origination, servicing, and investor relations. We are seeking an experienced and dynamic director of operations to join our team. This role is critical to the fund's success and will require a hands-on leader who can implement and manage all operational processes, software, and technology necessary to support the fund’s growth.
role summary:
the director of operations will oversee all aspects of fund operations, including loan origination, loan servicing, investor outreach, and ongoing management of fund activities. This individual will be responsible for selecting and implementing software solutions to streamline processes, coordinating all loan transactions, ensuring compliance, and managing communications with both internal teams and external investors. This person will play a critical role in developing and implementing operational policies and strategies that will support scalability as matador note fund grows.
key responsibilities:
1. Loan origination operations
- software implementation and management: select, implement, and maintain loan origination software to streamline the entire loan processing cycle, from application to closing.
- workflow management: develop, document, and optimize processes for reviewing and approving loan applications, ensuring all steps are completed efficiently and accurately.
- transaction coordination: coordinate and oversee all steps of the loan transaction, including borrower documentation, underwriting requirements, compliance checks, and funding disbursements.
- reporting and compliance: generate accurate reporting on loan origination activities and ensure all regulatory and compliance requirements are met.
2. Loan servicing coordination
- servicing software integration: select and manage software solutions to automate loan servicing, payment processing, and collections.
- loan monitoring: oversee the ongoing monitoring of loans, ensuring all payments are tracked, late payments are handled, and collections processes are efficient.
- investor communication: facilitate transparent and timely communications with investors regarding loan performance, potential risks, and portfolio updates.
- risk management: proactively identify potential loan servicing risks and work with other team members to address and mitigate these issues.
3. Fundraising and investor relations
- investor management software: identify and implement software to manage fundraising, investor outreach, and portfolio management.
- investor outreach and engagement: work with leadership to develop and execute strategies to reach new investors, build relationships, and maintain active communication with current investors.
- fund reporting and updates: ensure accurate and timely reporting of fund performance to investors, provide quarterly and annual updates, and manage investor inquiries.
- documentation and compliance: oversee investor documentation, including subscriptions, agreements, and compliance with securities regulations.
4. Team and vendor management
- recruitment and supervision: lead and mentor a virtual team of support staff as the fund grows, ensuring efficient daily operations.
- vendor and partner coordination: manage relationships with external vendors, such as legal advisors, compliance consultants, and technology providers, ensuring seamless integration with our operations.
- policy development: develop, document, and enforce operational policies and standard operating procedures (sops) to ensure efficiency and regulatory compliance.
5. Operational strategy and growth
- scalability and process improvement: proactively identify opportunities to improve processes, increase efficiency, and support scalability.
- technology and automation: explore and implement new technology solutions to support fund growth and streamline manual processes.
- data analysis and reporting: analyze data to provide insights on fund performance, loan success rates, and operational efficiencies, enabling informed decision-making by the leadership team.
- strategic planning: work closely with the ceo and other senior leadership to set and execute long-term strategic goals, ensuring operational readiness for growth.
qualifications:
- experience: 8+ years in operations, preferably in private lending, real estate finance, investment management, or a similar industry.
- technical expertise: demonstrated experience implementing and managing loan origination, loan servicing, and investor management software.
- project management skills: ability to lead complex projects from inception to execution with minimal supervision.
- financial acumen: strong understanding of financial statements, loan documents, and investor relations.
- communication skills: exceptional written and verbal communication skills, with experience in managing investor relations and client communications.
- leadership and collaboration: proven track record of managing cross-functional teams in a virtual environment, as well as working with external vendors and service providers.
working conditions:
this is a fully remote role. The ideal candidate can be based anywhere in the world but must work in the us central time zone.
