Frontera health is committed to providing exceptional aba healthcare services to the santa teresa community. We're seeking a highly organized and detail-oriented office manager to join our aba clinic team and play a vital role in ensuring the smooth operation of our santa teresa center.
*about the role*:
as the office manager, you'll be the backbone of our clinic's daily operations, creating a welcoming and efficient environment for both our team and the families we serve. In this multifaceted role, you'll oversee office organization, manage supplies and facilities, and support seamless day-to-day operations. You'll handle essential administrative duties, coordinate on-site events, and build relationships with external partners. Through clear communication and proactive problem-solving, you'll ensure that our staff and patients experience a positive, supportive environment each day.
*key responsibilities*:
*office management*
- partner with the bcba regional lead to ensure the center is a welcoming environment for families, clients and staff.
- maintain a well-organized workspace by managing office supplies and placing orders as needed.
- oversee facility upkeep and vendor relationships to ensure a clean, safe, and functional environment.
- monitor building and equipment safety protocols to maintain compliance.
- own safety & compliance including staff training, protocol implementation, process improvement, & family and team communication
*customer service*
- serve as the first point of contact for families, providing clear and compassionate assistance with questions, concerns, and requests.
- ensure consistent, professional communication with patients, families, and staff, fostering a welcoming environment.
*project management & event coordination*
- support community outreach & regional growth by managing on and offsite events, representing frontera's mission to the local community.
- manage key projects and initiatives which align with regional or broader business priorities.
*additional administrative support*
- assist with appointment scheduling, calendar management, and other administrative tasks as needed.
- support data capture and record-keeping efforts, ensuring accuracy and organization.
- managing the office supply budget, including oversight of approval processes.
*qualifications*:
- *education*: high school diploma required; associate's degree preferred.
- *experience*: minimum of 1-3 years of office management experience. 1+ years of project management experience is highly preferred.
- *skills*:
- proficient in google suite (docs, calendar, sheets).
- excellent organizational, time management, and multitasking abilities.
- strong attention to detail, with a commitment to accuracy and thoroughness.
- a positive, professional demeanor focused on exceptional customer service.
- experience in project management or event planning is preferred.
- *additional*: familiarity with aba practices or prior experience in healthcare is a plus.
*work schedule*:
- *hours*: 8:00 am - 5:00 pm, monday to friday, onsite at our clinic in santa teresa.
