the opportunity
our information management department is evolving to meet the needs of our growing business and we are expanding our presence in mexico to support mexico gas operations, engineering and projects (mgoep)
we are looking for our document control analyst who has knowledge and experience in supporting all the management of the documents of the company.
*responsibilities*:
- manage and custody physical and digital files like deeds public registry of property, contracts, agreements, non-disclosure agreements (nda), letters, purchase orders, meeting minutes, etc..., duly identified and codified, maintaining document management and control.
- verifies the document is correctly named according to the prescribed formula and notifies the document originator or owner if any discrepancies exist.
- ensures the proper distribution of documents while tracking revisions to make sure that the approved revision process for documents is followed.
- index final records into tc energy project repositories.
- electronic records - index and upload into opentext (ot)
- hard copy records - index in opentext (ot), picked up and stored with iron mountain
- preparation of master list and upload reports for publication of documents in the virtual library.
(document, data and record control)
- initiative to propose improvements in the organization of area documents.
- work with internal members, external contractors, consultants, and team members to acquire and share information representing the mexico business units and ensure all third parties comply with all document management process.
minimum qualifications
- excellent attitude, aptitude and interpersonal relationships.
- proven team player with the ability to work effectively in cross-functional teams and to develop and maintain collaborative working relationships.
- demonstrate great attention to detail and high level of data accuracy.
- ability to solve problems and make decisions.
- able to work as a team and take initiative.

preferred qualifications
- bachelor's degree.
- administrative career or engineering.
- 5 years of experience in activities related to document management and control.
- knowledge of legal documentation
- knowledge of microsoft office and power bi.
- intermediate english level.
