the recruitment operations team is a key function authorized to conduct and oversee the background verification and employment eligibility process. Information obtained through the background verification process assists american express in making sound hiring decisions that ultimately protect the company’s reputation and assets, promotes a safe work environment for employees and ensures high standards of integrity and performance. The recruitment operations team is responsible for interpreting background check records and associated information to determine the eligibility of employment at american express as well as ensuring each employee has provided the necessary employment authorization documentation to comply with applicable federal laws.
the role of the recruitment operations specialist is an exciting opportunity for a motivated individual who is compliance driven and who enjoys being part of a regional team, managing stakeholder’s expectations and building relationships to ensure the background verification is compliant with both the local and regional standards established by american express and local authorities.
how will you make an impact in this role?
* provide a broad range of administrative and operational support that is critical to the candidate and/or colleague experience & life cycles. May include support related to:
* partnering with other internal stakeholders, leadership, external vendor and legal department to ensure a seamless onboarding experience for candidates, hiring leaders, and recruiters
* support the end-to-end processing of pre-employment and annual regulatory background verification cases through:
• proactively reviewing background verification reports and communicating with candidate/employees to obtain any information and/or documentation to support insufficiencies and check discrepancies
• maintaining and responding to case inquiries from stakeholders
• accountable for reviewing and designating the candidate/employee’s final background verification report and communicating the result to stakeholders
• identify changes related to the background verification process and policy documentation as required, including standard forms and email templates
• identifying trends, escalations and issues and raise them to management
• provide timely updates to internal & external stakeholders as required
* ensure data integrity relating to all background verification activity (i.e., case notes, team ad-hoc annotations)
• adherence to all state, local and regulatory guidelines as applicable
* assist in compiling reports and analytics related to background verification metrics
* serve as an extension to the subject matter expert among the business, markets, and recruitment teams to ensure seamless integration and alignment of the background verification process and policies
* accurately support and maintain team administration/compliance trackers
* monitor email & inboxes and utilize additional identified tools to support timely responses or escalations as required
* support additional recruitment operations activities, including other regional market support, as needed
* contribute to ad hoc colleague services & ceg projects of interest
minimum qualifications
* 1-2+ years’ working in hr operations/recruitment or related field
* experience with microsoft office suite applications and outlook
* ability to multi-task within several different applications as well as perform multiple tasks simultaneously
* ability to work in a fast-paced federally mandated environment
* demonstrated written and verbal english communications skills (reading, writing, speaking and listening)
* flexibility and willingness to cross-train and support other team within rec ops as needed (us i9, us post offer, etc.)
* self-starter with ability to work effectively, independently (with leadership support), and collaborate with colleagues to complete assignments within a designated timeframe
* experience in working to tight deadlines, with multiple slas (including potential for same day resolution)
* demonstrated ability to handle multiple assignments with effective resolution of conflicting priorities in a timely manner
* ability to work within a continually evolving landscape and a flexible staffing model
* proven analytical, evaluative, and problem-solving abilities
* ability to maintain strict adherence to confidential access controls, security measures and business confidentiality policies to safeguard sensitive information and mitigate potential risks
preferred qualifications
* 1-2+ years’ experience in pre-employment background verification processes
