position summary:
we’re seeking a proactive, detail-oriented executive assistant to provide high-level support to senior leadership. This remote role requires exceptional organizational, communication, and multitasking skills. The ideal candidate will act as a strategic partner—anticipating needs, managing priorities, and ensuring seamless administrative operations. core responsibilities:
* manage complex calendars, appointments, and meeting logistics across time zones.
* screen and prioritize emails and communications with high discretion and professionalism.
* coordinate internal and external meetings, take notes, track action items, and ensure follow-ups.
* prepare executive reports, presentations, and documentation with accuracy and confidentiality.
* assist with project timelines, interdepartmental communications, and operations tracking.
* coordinate travel, expenses, event planning, and special projects as needed.
* maintain organized digital files and implement best practices in administrative processes.
required qualifications:
* 3+ years of experience as an executive assistant or administrative coordinator supporting executive leadership.
* strong written and verbal communication skills in english (c1 or above). Required
* advanced proficiency with google workspace and/or microsoft office suite.
* high level of integrity and ability to handle sensitive information discreetly.
* strong sense of ownership and ability to manage shifting priorities independently.
* excellent attention to detail and follow-through on all tasks.
strongly preferred:
* experience supporting u.s.-based executives or international leadership.
* background in service-based, facilities, franchise, or logistics industries.
* familiarity with tools like clickup, asana, trello, slack, or crm platforms.
* understanding of u.s. business communication, scheduling, and documentation standards.
