what you will be doing:
the mission of the customer service representative involves managing the company's accounts receivable processes to ensure timely and accurate billing, collections, and cash flow management. This role focuses on developing strategies to optimize collections, maintaining accurate records, and ensuring compliance with financial regulations. Additionally, the controller works in close cooperation and partnership with the sales department to improve overall efficiency in revenue collection, which keeping a customer centric approach.
* attention to assigned customer portfolio, such as wholesale, self-service and departmental.
* validation and implementation of specific processes requested by each customer for delivery, in coordination with the ar and warehouse areas.
* follow-up, monitoring and execution of processes for order invoicing.
* tracking and monitoring of appointments and shipments for delivery to the customer.
* tracking and identifying cancellation reasons for remittances and invoices.
* registration or modification of branches.
* registration of cross-references for validation in the edi interface.
* code validation (items, ean13, dun14, uom, pricing).
* registration or modification of price list.
* to follow up and notify orders with smaller amounts.
* validation with ar to confirm that the customer does not have an overdue balance.
* validation and confirmation of information contained in the order.
* product reservation by batch (line by line).
* report missing items and dwo codes.
* cancel product shortages and process order. Registration or updating of modifiers within the invoice, such as special commercial discount and volume discount.
* confirm that the interface 940 file is generated for the logistics operator.
* notification of order processing to the logistics operator's team. The email contains specifications, requirements and order lists, among others.
* follow-up of appointments, consolidations and direct deliveries.
* follow-up to order delivery confirmation.
* the cause of rejections is validated for customers who are delivered with a remission to notify the operations team, so they can close the process for invoice generation.
* for orders that are invoiced immediately, the reason for the partial rejection will be validated for the application of bts (back to stock) and/or total cancellation to apply total return.
* with the incorporation of new customers and products, it is vital to carry out previous tests of receipt and order processing to ensure the accurate application in each module (cs, ar, finance, edi).
* generation of product reservations per customer. Manage reservations at the request of the sales area for seasonal products.
skills needed to be successful in this role:
* proficiency in microsoft office (word, excel)
* knowledge of use in oracle – om (order management)
* management of portals for customers’ suppliers such as: amazon, soriana, grupo comercial dsw, costco, sanborns, liverpool, among others
minimum qualifications:
* bachelor of business administration, finance and related careers
* 3 years of specific work experience in customer service and billing
* strong spanish-english oral and written communication skills
* advanced english
