responsibilities:
* manage employee requests (status changes, new hires and other personnel changes).
* manage and process invoices, verify accuracy / validity, request approval, code and send.
* process payments, configure the provider and obtain the appropriate coding information.
* configure purchase orders.
* preparation of expense reports of cost centers according to the approved accounting process, expense payment management.
* coordinate travel arrangements (travel reservations / purchase of air tickets and hotels) and expense reports.
* provide general and specialized information on departmental support functions.
* manage office equipment, custody services / workspace issues and coordination of incoming and outgoing mail / shipping.
* manage files, maintenance of the records archiving system in accordance with company records.
* manage meetings. Scheduling, agendas and take meeting memos as requested.
* assist in the preparation of documents and powerpoint presentations.
* format, compile and print documents.
* coordinate with facilities services company for the supply of required office goods and materials.
requirements:
* high school diploma; bachelor's degree (bsc/ba) in office administration or a related field is preferred.
* proficient in microsoft office and office management software (e.g., sap, workday); experience and knowledge of sap procedures is an advantage.
* familiarity with office management procedures and basic accounting/financial processes.
* strong communication and interpersonal skills.
* at least 3 years of experience related to administrative functions.
* excellent organizational skills.
