the role:
my client who is a global leader within real estate services is seeking an experienced workplace senior assistant with a facilities management/office corporate background. The ideal candidate will be highly organised, proactive, and can take ownership of the job. In this role, the ideal candidate will play a critical role in ensuring smooth optimisation of the office space whilst maintaining the facilities and ensuring all safety compliance.
you'll be someone who will be happy to help the team run smoothly, whilst ensuring the office is a great place to work, and making sure everyone is safe and comfortable. Your support will make a big difference in keeping everything organised, efficient, and running like clockwork!
main duties & responsibilities:
* help the workplace manager with daily tasks and step in when they're away.
* keep the workplace organised, safe, and comfortable for everyone.
* welcome new starters by setting them up with office inductions and lockers.
* work with our cleaning team to ensure the office stays clean and tidy.
* regularly check that we're following health and safety guidelines.
* make sure visitors and staff have a great experience when they enter the office.
* provide tech support for meeting rooms, especially when it comes to video calls and equipment.
* get meeting rooms set up and ready - including furniture, tech, and catering needs.
* manage room bookings and make sure everything is running smoothly.
* help manage the office budget and keep track of operating costs.
* make sure purchase orders are handled correctly, following company guidelines.
* help staff learn how to use meeting room equipment.
* sort and distribute mail to staff daily.
* help organize courier deliveries when needed.
* keep track of office supplies, from stationery to branded materials.
* make sure office equipment stays in good working condition, including printers.
* ensure we always have enough kitchen supplies and janitorial stock.
requirements:
* strong multitasker who can handle various operational and administrative tasks with efficiency.
* excellent communication and customer service skills, ensuring a positive experience for all visitors and staff.
* ability to work independently and as part of a collaborative team.
* detail-oriented, especially in ensuring all av, security, and maintenance needs are met.
* experience with procurement, finance, and facilities management is a plus!

* location: newcastle
* commercial asset - (corporate office)
* pay range is between $30 p/h - $40 p/h + super
* 1 day per week - thursday (potential for extension)
* standard working office hours
