we are seeking a detail-oriented and organized administrative assistant to manage formal correspondence with subcontractors for our construction project.
key responsibilities:
1. handle all formal correspondence with subcontractors, ensuring clear, professional, and timely communication.
2. maintain accurate records of all communications and documentation.
3. use excel to track correspondence timelines and subcontractor's deliverables
4. follow-up action items with the project team to ensure response are timely provided to subcontractors.
5. assist in the preparation of correspondence reports and regular presentations to project management.
6. coordinate with project managers, subcontractors, and other stakeholders to ensure smooth project operations.
7. manage and organize project files, both physical and digital.
8. provide general administrative support to the project team as needed.

about you
we’d love to hear from you if your profile meets the following essential requirements:
education: high school diploma or equivalent; additional qualifications as an administrative assistant or secretary will be a plus.
languages: fluent english
qualifications and skills:
proven experience as an administrative assistant, preferably in the construction industry.
proficiency in microsoft excel and other office suite applications.
excellent written and verbal communication skills in english.
strong organizational and time management skills.
ability to handle multiple tasks and prioritize effectively.
attention to detail and a high level of accuracy in work.
ability to work independently and as part of a team.
familiarity with construction project management processes is a plus.
