the customer service representative provides direct day-by-day operational support for spare parts department through the responsibilities listed below:
*responsibilities*:
- checks and coordinates spare parts inquiries from customers
- follows a customer inquire, issues quotes from sap system, stating the price, terms of delivery and terms
of payment and validity of quotation
- follows-up & receives official purchase orders from the customers
- prioritizes orders for spare parts to deal wh the breakdowns
- prepares and sends the order confirmation to customer including the price, delivery dates, mode of
shipment, payment and delivery terms, cs orders
- works closely with the purchasing manager to assist in sourcing.
performs a proactive follow up &
coordination with suppliers, customers to arrange shipments
- prepares the necessary shipping documents for customs clearance including pro-forma invoices
- arranges the proper return and replacement of the defective item under warranty, repair, wrongly ordered
or delivered item/s
- checks, follows up and corrects the stock discrepancies
- prepares proactive recommended spare parts offers
- prepares quotes for customers for pm/hd/service intervention using existing templets
- fields customer calls and helps trouble shoot spare parts problems.
identifies part numbers using a spare
parts manual, 3d drawing, or a schematic.
- builds strong relationships with customers
- covers for shipping/receiving duties when shipping and receiving clerk is absent
- works closely with shipping and receiving clerk on all direct shipment to customers from e80 hq
- other duties/responsibilities as assigned
*requirements*:
- good communication skills and the ability to work in a team, work directly with the customer and with all
levels of personnel is required
- basic knowledge of microsoft office is required
- sap experience is a plus
- must be analytically natured and detail oriented
