responsibilities
1. supervision and management of office operations, guaranteeing the proper functioning of facilities and services.
2. coordinate preventive and corrective maintenance of the office facilities and services.
3. maintain the levels of office supplies (coffee/kitchen, stationary).
4. coordination with cleaning team.
5. arrange access control and notifications with building administration.
6. front desk - welcome and respond to guest issues in a friendly and timely manner.
7. answer and direct incoming phone calls to the appropriate party.
8. mail/packing control – properly accounting, collate and distribute of the incoming goods/packages/mails assuring no damaged items are sent or received.
9. updating and monitoring inventories (epp, it, technical, etc.).
10. support operations and administration leaders to fulfill ongoing administrative functions.
11. prepare communications, such as memos, emails, invoices, reports and other correspondence.
12. support hr with the organization of office events (vendors/venue/scheduling).
13. support new hires with onboarding (welcome kit, office tour, safety procedures).
14. support it with local assistance such as setup, supplies requests and control among other basic requests.
15. support business development with administrative activities.
16. support projects by coordination of logistics, preparation of information, word processing.
17. provide support to the safety team, particularly when assigning staff to field work.
18. collaborate in purchasing processes, from finding reasonable vendors to obtaining invoices and coordinating logistics for delivery.
19. develop corporate card reconciliation.
requirements
1. excellent written and verbal communication skills.
2. bilingual spanish/english.

1. minimum of 3-5 years of administrative experience.
