position summary:
manager operations will act as a liaison between ultragenyx mexico, ultragenyx latam, local retail distributors, government payors, and third-party logistics providers while providing optimal customer service throughout all aspects of relationship management, ensuring a best-in-class supply chain process for delivery of finished products from the warehouse to the order completion after quality release at the customer site. Coordinate the relationship between all stakeholders that participate in the supply chain process from forecasting to delivery of the product to the customer. He/she will meet or exceed required targets for on time delivery, distribution cost per vial, and maximum deviation quotas in serving customers in mexico.
excellence in tender management documentation: the ideal candidate will excel in meticulously managing all facets related to contract preparation, tender participation, and event follow-up. This role requires unwavering attention to detail, ensuring all necessary documentation is current, and deliveries flow seamlessly to their final destinations. In addition, the candidate will safeguard the organization's reputation by proactively mitigating risks of sanctions due to procedural oversights. Moreover, skilled inventory management is crucial to prevent delivery rejections and medication returns, enhancing operational efficiency and reliability.
he/she is also in charge of the relationship with public institutions by our commercial partners when the content is the follow-up related to our product orders flux and will make sure product demand, bids, tenders, and purchase processes for ultragenyx mexico’s products are attended.
work model:
flex: this role will typically require onsite work 2-3 days each week, or more depending on business needs. In many locations, the business will set certain days each week that flex employees are required to be onsite.
responsibilities:
* create monthly supplier forecasts.
* coordinate with the commercial and distribution partner, and 3pl, customer inquiries such as purchase orders, quotations, vial requests, complaints for lost or damaged goods, product returns or exchanges.
* follow up that orders are delivered as per contractual agreements and ensure that proper documentation, including transit documents and customs clearances, exists for shipments.
* ensure documentation is accurately processed and released to carriers, forwarders, customers, and agents in a timely manner.
* manage inventory levels in the warehouse, place pos to our supply team, and manage demand forecasts.
* supervise and develop the distribution partners and provide training to the team.
* daily execution of importation processes, sales orders, rush orders, service requests, and advance exchange programs (shipping calendar processing, etc.).
* analyze service failures/issues and suggest performance improvement processes to enhance future service delivery.
* work closely with other teams such as sales, supply, patient support, finance, distribution, qa, pv, regulatory, and contracts.
* report the monthly forecast demand vials to the financial team and reconcile every month the actual demand.
* be compliant with ultragenyx code of conduct, policies, and procedures.
* work closely with 3pl and local partners to ensure product import processes are executed efficiently and manage all legal requirements such as import licenses, taxes, documentation, etc.
requirements:
* minimum 5-10 years of experience in the pharmaceutical / biotech industry.
* knowledge in analytical, reporting, and data management processes; preferably in the healthcare industry.
* previous experience in local sales and import processes.
* strong attention to detail and ability to manage multiple stakeholders effectively.
