Position objective
assist site or area director in daily activities to successfully manage business activities and achieve company goals.
roles & responsibilities
- manage the director's agenda
- coordinate travel requests for director (flights, hotel reservations, car rental, hrg profile)
- create director's expense reports, as well as area expense reports if needed (invoice requests, via concur/axos)
- monitor travel expenses compliance to corporate guidelines
- coordinate, translate documents
- create and send memos from director
- keep meeting minutes when required
- organize and maintain confidential documents
- manage confidential information with extreme care and trust
- support in visit requirements, including agenda, hotel and transportation arrangements, security equipment, coffee break, dinner reservations.
- attend phone calls, organize phone conferences, virtual meetings
- coordinate shipping requirements (fedex, dhl etc.)
- create reports according to area demands
- active participation on activities related with health and safety
- coordinate and plan events requested by director (workshops, offsites, meetings, and annual events)
- any other task or responsibility assigned by director.
- coordinate as needed with other assistants for compliance, coordination, and support functions
- create and follow up on purchase requisitions, as well as purchase of office requirements when needed
- creation of service desk tickets for it and maintenance requests
- if needed, handling personal issues from director to allow optimization of efforts in the plant
- follow brp values and behaviors
- ensure a safe working environment and take full accountability for all safety related topics.
