our teams work collaboratively and respect each person's unique perspective and contribution.reporting to the office coordinator of zacatecas, the administrative assistant is responsible for the activities of the receptionist of the zacatecas office and support in the various administrative activities assigned to them.the administrative assistant is the first contact in the zacatecas office and is responsible for professionally representing the company.
*responsibilities*:- be a courageous safety leader who adheres to and promotes safety standards and procedures in health, education, and environmental contexts.- authorize and keep control of all entrances and exits of the office.- verify the safe opening and closing of office facilities, including the activation and deactivation of alarms.- report any illegal or unsafe activity detected, including attempts to obtain personal or confidential information by third parties or extortion calls.- verify that all padlocks, alarms, access doors, cameras, monitors, electrical installations, and general facilities work correctly ensure fire extinguishers receive maintenance on time and that emergency kits are complete and up to date.- assist in document filing and storing equipment in the office, as required.- manage incoming/outgoing messaging, attention to suppliers or vendors, reception, and management of receipts (utilities, supplies, etc.)
purchase of office supplies in general.- make hotel reservations for employees and/or visitors keeping in force previous agreements.- coordinate the implementation of the office's emergency plan if necessary.- responsible visitor's onboarding.- verify that cleaning and gardening services are carried out safely and correctly.- assist in photocopying and scanning documents always verifying that the equipment is receiving on-time maintenance.- actively participate in the risk analysis processes of the office.- promote a culture of safety and incident reporting immediately when they may occur.
