We are seeking a detail-oriented and organized construction administrative assistant with experience in permitting and inspections to support our team. This role involves handling administrative tasks related to construction projects, coordinating with municipalities for permit approvals, scheduling inspections, and ensuring compliance with local regulations. The ideal candidate will have a strong background in construction administration, permitting processes, and regulatory compliance.
this role is hired as a contractor, 100% remote and, payment in usd. English proficiency is required (c1 or above)
key responsibilities:
* prepare, submit, and track permit applications with local, state, and federal agencies.
* maintain and update permit logs, inspection schedules, and compliance documentation .
* coordinate with city officials, inspectors, and contractors to schedule and facilitate required inspections .
* review permit requirements to ensure compliance with zoning laws, building codes, and environmental regulations .
* assist project managers and site supervisors by obtaining permits in a timely manner to prevent project delays.
* communicate with government agencies to resolve permit-related issues and expedite approvals .
* maintain electronic and physical records of permits, inspections, and regulatory approvals.
* monitor expiration dates and assist in renewing permits or requesting extensions as needed.
* prepare and process permit payments, invoices, and related financial documents .
* support general administrative tasks such as document preparation, data entry, and correspondence with stakeholders.
qualifications:
* 2+ years of experience in construction administration, permitting, or inspections coordination .
* familiarity with local building codes, zoning laws, and permitting regulations .
* experience working with municipal permitting offices and inspection agencies .
* proficiency in microsoft office suite (word, excel, outlook) and permitting software.
* strong organizational and time management skills to handle multiple projects simultaneously.
* excellent written and verbal communication skills for liaising with government agencies and contractors.
* ability to work independently and meet deadlines in a fast-paced environment.
* knowledge of construction terminology and documentation is preferred.
* experience with construction management software (procore, bluebeam, or similar) is a plus.
