whom we are looking for:
we are seeking a detail-oriented and proactive administrative assistant to join our remote team. The ideal candidate will have 3+ years of experience in administrative support, preferably with small online businesses, and proficiency in google drive, gmail, wix, and mailerlite. If you’re an excellent communicator, highly organized, and ready to take initiative in managing various tasks, this role offers a chance to support our team and grow with the company!
key responsibilities:
1. email & calendar management
* review and prioritize emails each morning, flagging urgent responses and follow-ups.
* adjust availability in calendly to reflect any changes in your schedule.
* website updates (wix)
* update the archive section of the website weekly with the latest newsletter.
* format blog posts with proper seo settings, hyperlinks, and alt text for images.
* newsletter management (mailerlite & wix)
* format and schedule the weekly newsletter in mailerlite .
* write compelling subject lines that increase engagement.
* social media support
* upload pre-edited videos with captions to social media platforms.
* post to linkedin and facebook weekly using the provided content.
* convert existing copy into linkedin carousels and instagram posts using company branding.
* crm & administrative support
* update the crm system weekly.
* send follow-up emails when strategy sessions are canceled and offer rescheduling options.
* provide general administrative support as needed.
* future responsibilities (potential growth areas):
* assist with billing and payroll (not required initially, but may be added over time).
* take on additional administrative tasks as the role evolves.
required qualifications:
* 3+ years of administrative experience, preferably supporting the founder of a small, online business.
* proficiency with google drive, gmail, wix (basic updates), mailerlite, notion, and basecamp .
* fluent in english with excellent written communication skills .
* highly detail-oriented and proactive, with the ability to anticipate needs and take initiative.
