the facilities ops asset manager is a strategic professional who stays abreast of developments within their field and contributes to directional strategy by considering their application in their job and the business. Recognized as a technical authority for an area within the business, this role requires basic commercial awareness. Developed communication and diplomacy skills are necessary to guide, influence, and convince others, particularly colleagues in other areas and occasional external customers. This position has a significant impact on the area through complex deliverables and provides advice and counsel related to the technology or operations of the business. Work impacts an entire area, which eventually affects the overall performance and effectiveness of the sub-function/job family.
responsibilities:
* provides end-to-end facilities operations services including design & construction project management, physical operations, and maintenance of buildings/facilities.
* manage full budget responsibility for repairs and maintenance of all buildings.
* ensure compliance with citi realty services (crs) operating policies and procedures, health and environmental standards, and all related local regulations.
* responsible for obtaining all necessary building-related licenses and permits.
* liaise with building owners on all aspects of asset management activities, particularly lease obligations and building resilience.
* manage day-to-day building operations for the office building infrastructure.
* manage the fire life safety infrastructure and ensure that all fire alarm systems, fire extinguishing systems, etc., are properly maintained, tested, and documented.
* closely manage all building expenses, exercise expense control processes, and ensure any expense reduction opportunities are highlighted.
* monitor and ensure accurate real estate management system (rems) reporting.
* create rems work orders and purchase requisitions and approve related invoices within the respective signing authority.
* ensure all aspects of building housekeeping tasks, maintenance, and safety are carried out in full compliance with corporate standards and local legal requirements.
* supervise and monitor preventative maintenance scenarios.
* develop, implement, and monitor detailed process descriptions.
* project manage small moves and building infrastructure replacement/upgrade projects.
* ensure compliance with all requirements relating to the asset management function including risk and control self assessment (rcsa), records retention, and information security.
* develop, implement, and monitor energy awareness programs.
* regularly monitor air, water, and electrical quality.
* negotiate contracts for repairs to ensure cost-effectiveness and maintenance of quality.
* monitor services provided by all vendors to ensure contractual agreements are met and customer satisfaction levels are maintained.
* gather all space usage changes and support the compilation of monthly space & occupancy reports to ensure proper space & occupancy charging.
* manage inventory of citigroup’s non-technology assets including reporting to local financial control teams.
* ensure maintenance of accurate data in the environmental database.
* ensure timely reporting and updates to citigroup insurance risk management (cirm) on all matters relating to building insurance.
* maintain a crs continuity of business plan, including updates to the living disaster recovery planning system (ldrps) and close coordination with the country cob officer.
* maintain good working relationships with facility management contractor teams.
* provide ad hoc reports to crs local and regional management.
* assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding citigroup, its clients, and assets, by driving compliance with applicable laws, rules, and regulations, adhering to policy, applying sound ethical judgment regarding personal behavior, conduct, and business practices, and escalating, managing, and reporting control issues with transparency.
qualifications:
* 6-10 years of relevant experience.
* proficient in microsoft office with an emphasis on ms excel.
* self-motivated and detail-oriented.
* proactive leadership and motivational skills.
* consistently demonstrates clear and concise written and verbal communication skills.
* proven influencing and relationship management skills.
* excellent knowledge of legal, fire, safety, and construction law.
education:
* bachelor’s/university degree, master’s degree preferred.
candidate profile:
* industrial or sustainable development engineering or architecture degree.
* sustainability-related master studies desirable.
* acreditation in sustainable construction frameworks as leed, well, edge, and their certification processes is desirable.
* 8 to 10 years of proven experience in sustainability initiatives.
