cimmyt is seeking a proactive, detail-oriented, and customer service-oriented professional for the position of administrative assistant to work in the operations chapter/hr department of cimmyt.
the position will be based at cimmyt headquarters in texcoco, near mexico city (45 minutes from mexico city).
specific duties:
* support cimmyt’s security unit with all administrative functions.
* provide efficient and timely administrative support in all aspects of administrative work such as purchasing orders/requisitions, requesting stationery throughout the year with relevant follow-up, processing of payment journals, reimbursements, transport booking, accommodation, overtime payments, catering services, travel tickets, travel expenses (per diem), etc.
* prioritize and organize security management function's appointments and meetings, including logistics, minute-taking, and ensuring the proper flow of information.
* in coordination with the supervisor, organize and maintain an efficient filing system for the area, including subject, index, and/or cross-reference files.
* coordinate adt installation payments, new requirements, and related administrative issues.
* support the maintenance of the cctv system and other security systems.
* prepare documents, formats, brochures, instructions, and reports related to security, as well as information of interest from the security unit to the employees.
* keep current and efficient the security and incident dashboard.
* support in the elaboration of detailed security reports, including the weekly report.
* assist with the organization of logistics for security events, including training and presentations.
* translate documents and correspondence as needed, from local language (spanish) to english and from english to local language (spanish).
* maintain strict confidentiality of data and information.
minimum requirements:
* bachelor’s degree in administration, security, business administration, or a related field.
* proficient in microsoft office (word, excel, powerpoint, outlook) and other relevant software.
* 3+ years of experience in a similar position.
* advanced level of english (c1).
* demonstrated competencies: teamwork, excellent communication skills, attention to detail, organization, and proactivity.
