The marketing operations specialist plays a critical role in ensuring the smooth execution of marketing initiatives by managing and maintaining the budget control tool, supporting activity owners with training and follow up, coordinating with vendors, and facilitating the overall procurement process for the marketing team in the americas and globally. This position will be responsible for creating and following up on purchase requisitions while ensuring alignment with financial controls and regional and global marketing strategies for north america, latin america and other regions. This role works directly with all the marketing functions: field marketing, channel marketing, digital marketing, events, marketing communications and global marketing teams; as well as procurement, finance, and it.
key responsibilities:
budget management & financial coordination:
· maintain and update the marketing budget control management tool to ensure accuracy and real-time visibility.
· track marketing expenses, ensuring alignment with approved budgets.
· assist in financial reporting and forecasting related to marketing expenditures.
· work closely with the finance team to ensure proper budget allocations and cost tracking.
support for marketing activity owners:
· provide operational support to marketing activity owners across the americas in terms of training on the budget control tool and the procurement process and vendor payment follow-up.
· assist in troubleshooting budget-related or procurement-related issues.
procurement & purchase requisition management:
· support the procurement process by preparing and submitting purchase requisitions through oracle erp/accounts payable systems
· monitor the approval workflow and ensure timely processing of requests.
· collaborate with the procurement team to ensure compliance with company policies.
· follow up on purchase orders and payment processing to ensure vendors are paid on time.
process optimization & reporting:
· identify opportunities to enhance efficiency within marketing operations and propose process improvements.
· generate reports on budget usage, procurement statuses, and vendor performance.
· maintain accurate records of all marketing financial and procurement activities.
qualifications
· desirable around 3 years of working experience in accounting, business administration or related
· microsoft office suite
· english and spanish professional working proficiency
· ability to drive internal processes and execute jobs from inception through completion
· experience in working in highly matrix organizations
· analytical, organizational and time management skills
· ability to manage multiple projects at the same time
· experience with oracle sales cloud crm and oracle erp/accounts payable systems preferred
· ability to problem solve/troubleshoot operational issues
· ability to pick up new technologies and tackle challenges quickly
· must be able to work in a fast-paced environment and multi-task while paying close attention to detail
